Terms of Service

1. Acceptance of these terms
By booking a demo or using ClinicPilot ("the Service"), you agree to these Terms of Service. If you're using the Service on behalf of a clinic, you confirm you have authority to bind that clinic.
2. The Service
ClinicPilot provides AI-assisted patient communication automation for dental practices, including missed-call auto-replies, appointment reminders, FAQ chat, review requests, and patient recall. We provide the Service on a subscription basis as described on our website and in your order.
3. Fees and billing
- Plans are billed monthly in Canadian dollars at the published rates.
- A one-time setup fee covers onboarding, customization, and integration.
- There are no long-term contracts. You may cancel anytime, effective at the end of the current billing period, and we won't ask for reasons.
4. Your responsibilities
As a subscriber, you agree that:
- You will obtain all necessary patient consent before sending automated messages, including as required under Canada's Anti-Spam Legislation (CASL) and applicable provincial privacy laws.
- You will keep your contact and billing information accurate and current.
- You will not use the Service to send unlawful, deceptive, or harmful communications.
- Emergencies remain your responsibility: the Service is a support tool and does not replace professional judgment or emergency care.
5. No medical advice
ClinicPilot is a communication and automation tool, not a medical device. It does not diagnose, treat, or provide medical advice. Clinical decisions remain with licensed professionals at your clinic.
6. Availability and changes
We work hard to keep the Service available, but we do not guarantee uninterrupted access. We may update, add, or remove features as the product evolves, and we'll give reasonable notice of material changes that affect your use.
7. Intellectual property
The Service, including its software, branding, and content, is owned by ClinicPilot. We grant you a limited, non-exclusive right to use the Service during your subscription. Your clinic's data remains yours.
8. Limitation of liability
To the maximum extent permitted by law, ClinicPilot's total liability arising from or related to the Service is limited to the fees you paid in the three months before the claim. We are not liable for indirect, incidental, or consequential damages, including lost revenue or missed appointments, beyond what the law requires us to accept.
9. Governing law
These terms are governed by the laws of the Province of Ontario and the laws of Canada applicable therein.
10. Changes to these terms
We may update these terms from time to time. Continued use of the Service after changes take effect constitutes acceptance of the updated terms.
