What we collect

When you use this website, we may collect:

• Demo request information — your name, clinic name, email address, and phone number when you book a demo.
• Correspondence — anything you send us by email or through our forms.
• Usage information — basic, privacy-respecting analytics such as pages visited and approximate location, used to understand how visitors use the site.

How we use it

• To respond to your inquiries and schedule demonstrations.
• To provide, operate, and improve our service.
• To send you information you've asked for — never spam.

We do not sell, rent, or trade personal information to third parties, and we do not use it for any purpose other than those above without your consent.

PIPEDA and data residency

ClinicPilot is a Canadian service and handles personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA). Personal information is stored in Canada. Where a third-party processor (such as our calendar booking provider) is involved, we select providers with appropriate safeguards.

Patient data

When ClinicPilot is used by a clinic, patient communication data is processed on the clinic's behalf for the purpose of operating the clinic's communications. The clinic remains responsible for obtaining patient consent to receive messages, including under Canada's Anti-Spam Legislation (CASL).

How we protect it

We use industry-standard safeguards — including encrypted connections and access controls — to protect personal information against unauthorized access, use, or disclosure. No method of transmission is completely secure, and we cannot guarantee absolute security.

How long we keep it

We keep personal information only as long as needed for the purposes above, or as required by law, after which it is deleted or anonymized.

Your rights

Under PIPEDA you may request access to the personal information we hold about you, ask for corrections, or withdraw consent to certain uses. To make a request, email hello@clinic-pilot.ca and we'll respond within 30 days.

Cookies and third parties

This site uses web fonts served by Google Fonts and may use a third-party calendar provider for bookings. These providers may process basic technical data under their own privacy policies. You can disable cookies in your browser, though some parts of the site may behave differently.

Changes to this policy

We may update this policy from time to time. Changes will be posted on this page with an updated date. Material changes affecting how we handle personal information will be highlighted.
